Donation letters, also known as fundraising letters, are written for charity purposes. They are of two types. The first type is called the donation request letter. It is written requesting for support for a particular cause. The support can be financial or non-financial. For example, you may write a letter for collecting clothes from people for Tsunami victims. Alternatively, you may seek funds for constructing an old age home.

The second type is called the donation thank-you letter. It is written to thank the donor for his support, and also to inform how the donation received was been used for the cause.

Big organizations that are cash-rich generally resort to advertisements to raise funds. They organize charity shows, put up exhibitions, participate in reality shows, etc. as a means to reach a mass of people at a time. On the other hand, small organizations with lesser financial means resort to sending personal requests through pamphlets, letters, voice calling, or personal visits.

All donation letters have a common aspect, that is, the need to convince people. It is not an easy task to compel people to part away with their money or belongings. You need to give concrete reasons to make them do it.

Given below are some guidelines that can help to write an effective donation request.

1. Add a personal touch – Always address the letter to the possible donor. This can be done by simply writing his name in the salutation section and send it to his personal address.

2. Details of the organization – Mention the background, management, achievements, and the proposed plan of action to support the cause. This sends a signal that you are serious about your work.

3. Identify your possible donors – It is very important to know whom are you going to send the letters. People who respect and are interested in your type of social work may respond to your letter. The rest may ignore.

4. Reasons for donation –Give a detailed account of the reasons for raising funds. Also mention the manner in which the funds will be used.

5. Be specific with the type of donation – If you wish to receive money, then clearly mention the mode of payment. If you want donation in kind, then mention the manner in which you can collect the items.

6. Be honest – In an attempt to convince the donor, do not create concoctions to reinforce the seriousness of the cause.
