It is commonly believed that letter writing is nothing but an art. Some people are inborn with the art of writing, for others, they can master it through practice. These days, though e-mails and text messages have replaced letters, yet the principles of letter writing are still followed in all types of communication. To gain confidence in letter writing, it is recommended to write at least one type of letter every day. For this, you should first know how many types of letters are there.

The letters are mainly divided into two categories, formal letters and informal letters. Formal letters include business letters, applications, requests, complaints, recommendations, letter to editors, and many more. Their main purpose is to convey some important and official information to accomplish a task. They can be informational, persuasive, motivational, or promotional. They should be typed and printed on a standard white paper or a letterhead. On the other hand, informal letters include letters to friends and family. Formal letters follow a specific template, and informal letters have no definite structure.

Letter writing is an enjoyable task once you know the basic aspects. The most important aspect is to identify the reader. As a letter writer, you have to draft your letter keeping in mind the psychology and aptitude of a reader. Ensure not to write things that may hurt or disappoint a reader. If you know the reader personally then your task gets much easier.

If the reader such as a government official is unknown to you, keep the content very short and to the point because he may already be overloaded with other communication. He would want to grab your message in the first reading itself. Otherwise, he may postpone reading your letter.

The next aspect is your ability to convey the message clearly. It is believed that ‘Simple writing is difficult writing.’ First, identify all key facts to be included. Frame sentences with the facts. Arrange them in a flow. Prepare a rough draft. Rework on it till it gets perfect. In the end, type the final letter. You should follow these steps for a personal letter also. A well-written personal letter is a memorable letter for its recipient.

Another aspect is to identify the form of language. In business letters, the language should be professional and free from threatening and abusive words. In personal letters, you can freely express your thoughts in a way you like it. Ideally, they should also be decently written.
