Sometimes, instead of lengthy letters, you can use short notices known as the notes of invitation to invite people to different social events like dinners, parties, award functions, etc. However, these notes belong to the category of letters only. They can be either formal or informal.

Formal notes have an element of formal style of writing. They are written in the third person. The note contains only the body of the letter. No other element of a basic letter like heading, subject, salutation, and complimentary close are mentioned. The name of the receiver is a part of the body of the letter. Moreover, other key information such as the address of the receiver and the date are written at the end of the note.

To have a better understanding of the format of an invitation note written formally, you can go through the example given below and write a letter on your own following the format.

Case 1- Imagine a situation where you have to invite your friend and his wife at a dinner at your place.

Mr. and Mrs. Craig (the name of the host) request the pleasure of Mr. and Mrs. Simpsons (name of the guests) presence at lunch on Saturday, the 9th of April, at 1o’clock at the residence.

B-121, Hamilton Villas (i.e. the address of the sender)

Express Road

XYZ

1st April (the date of writing the message)

Case 2 – Mr. and Mrs. Simpson receives the letter. Now, they reply it accepting the invitation.

Mr. and Mrs. Simpson have pleasure in accepting the kind invitation of Mr. and Mrs. Craig to lunch on Saturday, the 9th of April, at 1’o clock at the residence.

A-14, Valley View Apartments, (the address of the receiver)

Street No. 46

XYZ

2nd April (the replying date)

Case 3- Mr. and Mrs. Simpson refuses the invitation.

Mr. and Mrs. Simpson regret that a previous commitment prevents their accepting the kind invitation of Mr. and Mrs. Craig to lunch on Saturday, the 9th of April, at 1o’clock at the residence.

A-14, Valley View Apartments, (the address of the receiver)

Street No. 46

XYZ

2nd April (the date of refusal)

By analyzing the above example, you can see that brevity is the main characteristic. The content includes mere statements of facts free from emotions. The purpose of the note is to inform only. The language is courteous and modest and is free from language errors.
